Retreat Bookings

By completing an on-line reservation/booking and accepting these terms and conditions, or by placing your booking over the telephone, or by email or by signing and posting/faxing a booking form, or by making payment against an invoice from us, you accept these Terms and Conditions as a binding contract between The Fields at Rootsprings on behalf of yourself and any other members of your booking.

The Fields at Rootsprings cannot accept your booking without a completed online reservation, or your verbal confirmation or request to proceed given over the telephone or in writing by email. A written/emailed confirmation sent to you by The Fields at Rootsprings means The Fields at Rootsprings has accepted your booking and is confirmed when your payment has been received. Check your spam or other email inbox folder(s) for an email from [email protected].

Your commitment to embodying our mission and values

We are honored to host your visit or stay at The Fields at Rootsprings, and ask that you respect the sacredness of this land, our neighbors, animal life living on the land, and pay close attention to our mission and values to guide your actions.

Keep noise and vehicle speed to low levels while traveling on the dirt roads nearby and on the land. Deer and other animals are especially present near sunrise and sunset. You agree to slow your vehicle speed while on the land to account for chickens, cats, people, and other wildlife that live on this land and roam freely.

We show love and respect by creating a space where everyone’s humanity is honored. We’re down with:

You agree to align your behaviors and presence on the land with these values.

Refusal of Service

We reserve the right to refuse service to individuals or groups who do not behave in a manner that is not aligned with the mission and values stated above, as well as the requests of The Fields at Rootsprings staff members or representatives.

Email Address & Telephone

It is vital that we have a valid email address. If you change your email or phone number you should inform us immediately. We correspond primarily by email. Once your booking has been made and we have received your payment, all further correspondence is by email. We will also email you all of the information that you’ll require to get to the land. We also require a phone number so we can contact you during your stay.

Payment, Reservation & Deposit

Upon booking and confirmation that your requested dates for your chosen hermitage(s) are available we charge 100% of the retreat price. This is taken in good faith and is not refundable. Once this payment has been paid, it secures your dates. We cannot guarantee any reservation until your payment has been received.

Payments are available via Paypal, credit card, bank transfer, and check. Payment technologies and other external factors may limit digital forms of payment at times.

Additional fees for damages, cleaning, and/or late check-out may apply.

  • Damages will vary according to the best estimate of market value for related item(s) or remediation effort needed to correct the respective damage(s).
  • Cleaning fees may be charged for guest(s) or group(s) who do not complete the check-out cleaning and care checklist provided in each hermitage.
  • Late check-out fees may be charged for guest(s) or group(s) who depart their hermitage(s) later than the 11am CST check-out time, unless a previous agreement is approved by a member of The Fields at Rootsprings staff or representative.

Please Note: Tax exempt organizations, including non-profits, are required to pay Minnesota State Sales Tax on food and lodging.

Rates and Payment Method

Rates for hermitages are $100 (sustainer) or $75 (supported), based on ability to pay. Please note our sustainer rate ($75+$25) represents the cost of one (1) night stay for up to two (2) guests. Our supported rate ($75) reflects our commitment to offer a discounted rate to those who need a discounted rate. For more information about how to support or access solidarity stays please email us.

We center cultural ceremony on the land and guests may be asked to make/share space.

Whole Farm rentals start at $550 per night and are available on a case by case basis.

Payment can be made through Paypal or by check payable to The Fields Retreat. Checks can be dropped off in the Wellness Center in the Comment/Money Box.

Should it be necessary to cancel or amend your reservation, please contact us at 612-888-6445 as soon as possible. Cancellation fee may be applied.

We take payment through all major credit cards, check, and cash.

Arrival and Departure Times

Check-in time is 2pm CST.
Check-out time is 11am CST.

We love knowing your estimated time of arrival so that we can greet and orient you to the land. If you are delayed or need to cancel, please contact The Fields at Rootsprings by email or text the contact number which will be provided before you travel.

On your departure day please be ready to leave your hermitage by 11am unless otherwise agreed.

Group Reservations & Responsibilities

Group reservations and Whole Farm rentals are arranged directly with a representative for The Fields at Roostprings. Terms and conditions for such arrangements/reservations will be shared during that process.

Rights to Changes

The Fields at Rootsprings reserves the right to amend the booking dates. This may be due to several reasons, not limited to but including, war, adverse weather conditions and or matters concerning participants safety, operational circumstances such as damage caused by fire, or the hermitages(s) or land becoming unusable due to utility company work or lack of services, leaks, repair work or any other such reason. In these circumstances the booking may need to be adjusted accordingly. The Fields at Rootsprings is not liable for any additional costs or losses that may be incurred by the client due to the change of booking. This includes, but is not limited to, any extra hotel reservations or car rentals, or the cost of non-refundable airline tickets. Situations may arise which, in our opinion, make it necessary for us to alter the normal booking schedule.

In the event before your arrival or during your stay your choice of room becomes unavailable or unusable for any reason we reserve the right to offer you an alternative room of the same level of quality, or to refund all monies paid to date and cancel the booking. We reserve this right in the case of availability clashes, unexpected, unforeseen or uncontrollable situations. Should The Fields at Rootsprings successfully be able to offer you a similar room, a prorated refund for the difference will be refunded if the room offered is a lower cost for the same period. If The Fields at Rootsprings is not able to offer a similar room, then a full refund of monies paid will be returned, or in the case that some time has been used already at the room before it becomes unavailable then a pro-rata refund will be given. This constitutes the maximum liability of The Fields at Rootsprings. The Fields at Rootsprings are not responsible for any other expense or costs incurred including rearranging or cancelling flights or car hire. We strongly recommend holiday insurance cover.

Cancellations and Refunds

All retreat purchases and reservations are non-refundable. No exceptions to this policy can be made for any reason, therefore holiday insurance with a cancellation policy to cover any such rare occurrence, is strongly recommended.

The Fields at Rootsprings reserves the right to cancel reservations due to circumstances beyond our control, including but not limited to severe weather, such as subzero temperatures and blizzards.

If this is decided, a member of our staff will contact you or your group leader to provide this update. Every effort will be made to reschedule the reservation. However, if that is not possible, your deposit and/or any monies collected thus far will be refunded.

Cancellation Policy is as follows:

  • Full refund for cancellations made 30 days or more in advance
  • 50% refund for cancellations made 7-29 days in advance
  • No refund for cancellations less than 7 days in advance
  • We reserve the right to cancel reservations
  • COVID related cancellations are refunded in full with cancellation up to 24 hours in advance.

Printing, Typing, Terms & Conditions, Calculation Errors and Omissions

The Fields at Rootsprings reserve the right to correct any printing or typing errors, omissions or calculation mistakes at any time. We also reserve the right to amend our terms and conditions that apply to your booking at any time and without prior notice.

Pets

Working service animals are welcomed. Dogs are allowed only in the Octavia E. Butler Dome. Our dog policy can be found here

Travel Insurance

The Fields at Rootsprings recommends that you take out adequate travel insurance, including cover for medical treatment, accidents and repatriation, and holiday cancellation and curtailment. It is your responsibility that you arrange, or ensure you have appropriate comprehensive travel insurance. This to include cover for illness, personal injury and travel delay/cancellation. We assume that such a policy is in force before you depart. You should bring the policy with you in case of an emergency.

Photography Consent

We will at times take photographs during retreats and guest stays for our website and promotional materials, including but not limited to advertisements and email or social media communications.

By booking with The Fields at Rootsprings, you agree to have your photograph taken. If you have concerns about your photo being shared for safety or identity disclosure reasons, for example, please contact The Fields at Rootsprings via email ([email protected]) to notify us of your wishes to opt out of photographs that could disclose one or more of your identities in connection with your visit or stay.

Our Responsibility

We are responsible for providing the services listed on our website, where it is within our control. The Fields at Rootsprings cannot guarantee that all items listed on our website will be functional at all times, however all endeavours will be made to rectify any problems as soon as we possibly can. We reserve the right without prior notice to withdraw any part or all of the facilities available, and to make such changes as may be necessary.

Furthermore, it is agreed by you that the owners/operators of the The Fields at Rootsprings are not the guardians of any customer’s safety and they, individually or collectively, cannot be held liable in any way for any occurrence, which might result in illness, injury, death or other damage, loss or theft to the customer, their property, or their family. The liability of The Fields at Rootsprings is limited to a total of the booking price irrespective of the title/claim.

Personal Belongings

Any valuables left at the property are the guests’ sole responsibility and neither The Fields at Rootsprings nor the staff can be held responsible for any loss or damage of personal property.

Liability & Your Health

All activities are undertaken at your own risk. For your own wellness and safety, you must comply fully with all and any additional health and safety regulations introduced by The Fields at Rootsprings.

It is your responsibility to ensure that you are medically, mentally and physically fit and able to use our facilities and participate in any of our retreat activities, including but not limited to walking, boating, swimming, gardening, and engaging in long periods of silence. Customers who have injuries or mental or physical illnesses are advised to seek doctor’s advice prior to visiting on or staying at The Fields at Rootsprings land. The Fields at Rootsprings is not liable for any injuries you may contract during a visit or stay.

Weather Conditions

Weather conditions can be unpredictable, and can change quickly and significantly. The Fields at Rootsprings cannot be made liable for unpleasant or unsuitable weather conditions and no refunds are made for such conditions.

Construction Work

The Fields at Rootsprings cannot predict construction plans in the area and therefore cannot be held responsible for any inconvenience. In the event of building works taking place by local authorities, private developers or neighbours, it is important to note that we are not responsible for such work and we are unable to stop such work taking place and we are unable to control the level of noise. We cannot be held responsible for any building works that take place during your retreat. No refunds can be given in the event of nearby construction.

In the event that construction work is taking place on the land, we will do our best to communicate any necessary updates and accommodations.

Force Majeure

“Force majeure” means any unusual and unforeseeable circumstances beyond our normal control, which the consequences of could not have been avoided even when exercising all due care.

Such circumstances or events include, but are not limited to, war, or threat of war, riot, civil unrest, industrial disputes or strikes, unavoidable technical problems with the villa, transport, or closure or congestion of airports, terrorist activity, natural disasters, industrial disasters, fire, theft, flooding and adverse weather conditions. In the event of any of the above refunds or compensation payments cannot be made.

Weapons

The safety and security of our guests and staff are important to The Fields at Rootsprings team. This policy is designed for the protection of our guests and staff and pertains to the presence of firearms on the premises.
The retreat center prohibits guests or visitors from openly carrying weapons on the premises.

We recognize that guests or visitors may legally possess firearms for a variety of legitimate purposes. This policy is intended to create a safe environment for all guests and visitors by providing appropriate guidance over the custody of firearms on our premises.

The retreat premises are private property. Guests or visitors who lawfully are permitted to possess a firearm, are strongly discouraged from bringing any weapon on the property, and if a guest is so inclined, it may be for storage purposes only.

Any guest or visitor who is in possession of a firearm on retreat premises is personally responsible for abiding by all applicable federal, state and local laws with respect to firearms, and ensuring that the firearm is:

  • unloaded;
  • secured in a locked, hard-sided firearm container provided by the guest; and
  • securely safeguarded at all times in a guest room (or personal vehicle), except when transporting the firearm into or out of the resort.

Guests who fail to abide by this policy may be asked to leave the premises.

We prohibit hunting on the land but want to advise our guests that our neighbors are hunters. You may hear gunfire from our neighbors during your stay.

Contract, Complaints and Suggestions

The Fields at Rootsprings is confident that you will not have any cause for concern during your retreat. However, if you should have any problems during your stay this should first be brought to the attention of a representative of The Fields at Rootsprings.

If you are not satisfied with the local resolution, then, any further comments or suggestions should be put in writing, within 14 days of your visit or stay, specifying the problems to: [email protected].
